Define what a sample must answer before paying for a larger order. Sample receipt alone does not prove production consistency, compliance, electrical suitability or a health outcome; record the configuration, evidence and approval owner for each check.
Pre-sample checklist
Product identity
Record the supplier, manufacturer if separately identified, model code, specification revision and segment configuration. List requested shell and interior materials, heating technology, usable dimensions, controller, accessories and electrical destination. The sample line should match the quotation line; an unmarked or related model cannot resolve the exact-product questions.
Order relationship
State whether the sample is a standard unit, a pre-production sample or a packaging and artwork sample. Ask which elements will be identical to production and which may change. Record sample cost, quantity, shipping scope and target review date separately from the proposed production order.
Approval questions
Assign reviewers for construction, dimensions, controls, electrical information, labels, manual, warnings, packaging and visual finish. Define how observations will be recorded and whether a revised sample is needed after a change. Clinical or regulatory acceptance is outside a general sourcing review and should go to qualified parties.
Sample evidence and decision record
Comparable evidence
Photograph labels, controller markings, included accessories, carton identifiers and measurable dimensions, then link those records to the supplier's written specification. Compare the received unit with the buyer brief and quotation revision. A manual, label or report should identify the exact product and responsible party rather than a loosely related series.
Open or changed
Log every deviation, missing file, material substitution, altered dimension, control difference, packaging omission and unresolved electrical question. Record whether the factory will correct it, whether a new sample is required and who may approve the change. Do not infer production capability, lead time or certification from a single sample.
